First and foremost, ensure you have your subdomain connected. This is the email that the bot responses will come from. If you are using Drift Email for reply management (route and track, enrich contacts, etc) the email for your bot responses cannot be the same as one you have connected for reply management.
If they do not want to create a subdomain and want to use an email inbox they already have created, ensure that it is not used for reply management and they are okay with those emails filtering into Drift Email. We don't recommend using a personal email for that reason.
To begin setting up the Webinar Bot, you'll first want to navigate to Skills > Create Skill > Offer Bot (Webinar)
If you’ve already built out your email in your marketing automation platform, you can begin filling in the fields here. The most important fields are filtering by source and filtering by subject line.
The source filter is your "from field" and the subject filter is your "email subject line." Once completed, Click next.
On the responder tab, you first want to select the bot inbox. This is where your bot replies will come from. Again, this must be connected as an inbox.
While still on the responder tab, you will create your bot responses based on how your customers respond. See the example below as an example of how the bot would respond to any email interpreted as yes. From here you can also set a CC someone on your team if you want.
We also recommend adding a response for No and Recording. You can do that by select add another response option. See below for a shot of how we've set up a response for a No answer, and a Recording answer.
Feel free to make the copy as conversational as you like - we recommend keeping it short and written like a human. The responses can only be plain text, and we advise have the webinar invite sent as plain text as well. Since the email invite is not being sent through Drift Email, it is technically possible to send as a html email, but we strongly advise plain text to see the best results.
You can choose to send a response which is sent immediately or create a draft for review. This will require you to navigate to the inbox and approve the response. We typically recommend sending immediately and trusting the bot.
Once done, you can click over to the Tracking tab. From the track my contacts in drop down, you can select which integration you use to track contacts with.
You’ll then want to track each individual response. For yes responses, you’ll chose the list to add them to, so on the day of the event you can simply send your webinar link to everyone in the list.
The same is recommended for no and other responses.
You can also choose to update a specific field based on what their response is, but this is optional.
Once you’ve completed your tracking, you can click finish.
You can now turn your skill on in the top right if you’re ready to start processing replies to your webinar invite.
You'll want to make sure to turn this on before your webinar email is sent so you can catch all of your responses!
